As our Accounts Payable Specialist, you will manage the full-cycle accounts payable process, ensuring vendor invoices are reviewed, entered, approved, and processed accurately and efficiently. You will also review vendor credit applications, respond to vendor inquiries, and help resolve invoice or payment discrepancies. Additional responsibilities include verifying invoices for accuracy, completeness, proper documentation, and required approvals.

Key Responsibilities

As our Accounts Payable Specialist, you will be responsible for:

1. Maintaining accurate and organized accounts payable records and invoice files
2. Reviewing, verifying, coding, and entering vendor invoices accurately and promptly
3. Matching vendor invoices with purchase orders, receiving documents, and delivery tickets
4. Verifying figures, postings, account codes, and supporting documentation for accuracy and completeness
5. Researching and resolving invoice discrepancies and payment-related issues
6. Responding promptly and professionally to vendor inquiries regarding invoice and payment status
7. Entering invoices within established timelines to capture available vendor discounts
8. Collecting required tax documentation, including Form W-9, when setting up new vendors
9. Assisting with the preparation and processing of annual Form 1099 reporting
10. Matching payments to invoices and preparing checks for mailing
11. Setting up and monitoring payment schedules for vendors with recurring payments
12. Maintaining positive vendor relationships while following company policies and procedures
13. Performing additional accounts payable and administrative duties as assigned

Qualifications

To be considered for this position, you should have:

1. Accounts payable experience is preferred but not required
2. Experience using Viewpoint software is highly preferred
3. Experience working with paperless accounts payable processes is preferred
4. Bilingual proficiency in English and Spanish—including speaking, reading, and writing—is a plus
5. Work in office full time
